Create An Booking Order through Temando
When a customer has made an order on your front end, the order should be seen within the Temando Manage Shipments Area.
If you are in Sales Order Area of Magento, this will not ship with Temando and the page will look like this:
To get to the correct screen you will need to select View on the order required and then select ‘Ship With Temando’.
If you see a screen like the below you have either selected ‘Ship’ which will not use Temando or your configuration has not been set up properly:
You have either selected ‘Ship’ which will not use Temando or your configuration of Temando is not correct.
One way to tell which screen you are on is by the heading…
Orders Page View All Orders;
Manage Shipments (Temando Plugin) View all orders page;
Sales Order Page for an individual order;
Ship With Temando Page for an individual order;
Ship Page for an individual order;
You will need to see either Manage Shipments or Order # XXXXXXX | DATE & TIME STAMP without a logo to be in the Temando Area for shipping.
If you need to edit the base order you need to select ‘Edit’, which will then cancel the current order. From here you can add in extra Items or a free product ( box etc.) to the order before shipping.
View Order to Ship with Temando:
To view the order you want to book click on the View Link on the order:
When you click on the customer’s order you see this page (or part thereof):
Please confirm that all the details are complete for each order:
Shipment Status: In this section, you are unable to edit any details, as this is what the customer selected at time of ordering.
Customer Selected Delivery Options: This area you can override your customer options depending on what is required for the delivery. Please note if these are chosen the quote and booking price may change to include these extra services.
Pickup and Delivery Dates: This area is here if you need to select a different date than ASAP ( As Soon As Possible ) To change the date select on Select Date to choose a date in the future. If your customer is wanting this pickup to be the way in the future it may be best to process this order closer to the intended time. So carriers have the details closer to the delivery time wanted.
Note: you can only select AM or PM when you choose a date for pickup option, the exact time or hour the pickup cannot be chosen.
Destination: If you do need to change the destination address in the Sales -> Order -> Destination section, it will not update automatically the changes made to the Destination area in Sales Order to the Temando Order destination section.
If the order has not been booked and still in quote stage, you are able to change the destination section within Temando’s Ship Order Page and save.
You will need to manually override the details in the Manage Shipment area & then requote the order, to confirm the price.
It is always best to check customer details and please choose the correct Destination Type as this will change the quoted price and if selected incorrectly additional fees could apply.
To be able to add insurance to orders, you will have had to set this up as part of the Configuration. If you have not done this, please jump over to the Configuration page for more information.
The insurance premium will always be based on the total value of the goods being shipped. Once the premium is calculated it will be added to the shipping quote.
Choose the correct Warehouse required for your order is important, especially if you have multiple locations or you need to change the warehouse due to stock volumes.
Depending on your customer’s location if you have a warehouse that is closer, you should have the correct Zone setup to match that warehouse to the location (Please see Zone Setup) for further details.
If you have any warehouse location that is linked to BYO Carriers (Like Australia Post) these carriers should show up as quote options when selected.
Note: Changing the warehouse may also change the cost of the quote and booking.
It is highly recommended that if you change any elements of the booking, that you save & get quotes again to ensure accurate pricing.
This is the list of items the customer has ordered. If an order needs to be amended (adding/deleting items), edit via the Sales Order, so that a new order is created & can be quoted accurately.
If your warehouse does not have the whole order available but some are available you can change the ‘Qty to Ship’ to the amount able to be shipped and press Save and Get Quotes to re-calculate shipping costs.
Boxes to Ship:
This area is used primarily for packaging logic of placing the items into the less amount of boxes/ space possible. If you setup packaging logic this is where it will use the details supplied to Temando.
If you need to reallocate the order to a different packaging type, please select Item Allocation and place the items into the packaging required.
If you get this error message, please confirm all items are allocated to a box for shipment. They will need to be added to box and taken out of unallocated items.
If you need to add in an extra box to an order, it is not possible to do this in this area. You will need to add a parcel to the item SKU in the Manage Products area so then it is added at the time of calculation.
Depending on the rules you have created your customer may have already chosen a carrier option. From this order view, you can choose to use the carrier selected or requote for a cheaper quote, faster service or alternate carrier.
The system will show you in the Notes area which option the customer has chosen, which is the fastest option and which one is the cheapest.
To pre-select a quote to use for shipping you can press ‘Select Quote’ Link & when this selected it will show you what has been selected.
Once you are ready to process the booking select on ‘Process Shipping Rate’ and your shipment will be booked.
From here you can download the label and attached to your item, you can also print off a pick-slip to go with the label for your warehouse team to collect the box and slap the label on to send.
Cancel An Order:
For whatever reason you need to cancel an order, the normal process will be to action this via the Sales-Orders tab. Once actioned, this will change the order status to "Cancelled"
Please ensure that within Temando Settings the configuration is set up to pass through only orders you want to see in Temando Shipments.
When you scroll down to Temando Manage Shipments – Filters you will need to select all the statues that will not filter through to Temando Shipments.
This means that any orders with a status "Canceled" will not show up in "Manage Shipments".
Alternatively, if you want to remove Orders from your "Manage Shipments" grid without needing to cancel you can select the checkbox on the left next to the order(s) and then use the "Actions" drop-down and select "Remove Shipments". This does not delete the shipment but it removes it from the Manage Shipments Grid.
Note: To do this change without notifying customers you will need to go manually into the database itself and update the tmdpickup_pickup table. In this table, you will need to look at all pending orders and manually change these to say completed or the correct status for collected. This needs to be done to the local database that is attached to the Magento instance with Temando Plugin. Your developer or your designated person should do these changes.
